Gaia Hive Events. Online & in person

1. Booking & Payment

  • A non‑refundable deposit is required to secure your spot.

  • Full payment must be completed by the specified deadline.

2. Cancellation Policy

  • Participant cancellations:

    • Deposits are non‑refundable.

    • No refunds are available due to the nature of this work.

  • Organizer cancellations:

    • If the retreat is cancelled due to unforeseen circumstances, participants will receive a full refund of payments made.

    • The organizer is not responsible for travel costs or other expenses incurred.

3. Health, Safety & Personal Responsibility

  • Participants must disclose any relevant medical conditions prior to attending.

  • Activities may include physical movement, meditation, outdoor excursions, and ceremonial practices. Participation is voluntary, and individuals assume full responsibility for their own health and safety.

  • The organizer is not liable for injuries, illnesses, or accidents that occur during the retreat.

4. Ceremonies & Special Events

  • Certain ceremonies or events may involve guided meditation, sound healing, energy work, symbolic rituals, or other experiential practices.

  • Participation in all ceremonies is optional. Participants may decline or step out at any time.

  • Some ceremonies may have specific guidelines (e.g., fasting, quiet hours, no substances). Participants agree to follow all instructions provided by facilitators.

  • The organizer reserves the right to modify, postpone, or cancel ceremonies or events due to weather, safety concerns, facilitator availability, or other unforeseen circumstances.

  • Participants acknowledge that ceremonies are intended for personal growth and wellness and are not a substitute for medical or psychological treatment.

5. Travel & Accommodation

  • Participants are responsible for arranging their own transportation to and from the retreat location unless otherwise stated.

  • Accommodation details will be provided upon registration. Any damages caused by a participant may result in additional charges.

6. Conduct & Respect

  • Participants agree to maintain respectful behavior toward others, staff, facilitators, and the retreat environment.

  • Disruptive, unsafe, or inappropriate behavior may result in removal from the retreat without refund.

  • Confidentiality is expected: personal stories shared during group sessions or ceremonies must remain private.

7. Use of Photos & Media

  • The organizer may take photos or videos during the retreat for promotional purposes.

  • Participants who do not wish to appear in media must notify the organizer in writing before the retreat begins.

  • Certain ceremonies may be designated as no‑photo/no‑recording spaces to protect privacy and sacredness.

8. Personal Belongings

  • Participants are responsible for their own belongings.

  • The organizer is not liable for lost, stolen, or damaged items.

9. Weather & Schedule Changes

  • Activities, ceremonies, and events may be adjusted due to weather or other unforeseen circumstances.

  • The organizer reserves the right to modify the schedule without prior notice.

10. Liability Waiver

By attending the retreat, participants acknowledge and agree that:

  • They participate at their own risk.

  • The organizer, staff, facilitators, and venue are not liable for any injury, loss, or damage incurred during the retreat or during ceremonies and events.

11. Acceptance of Terms

By registering for the retreat, participants confirm that they have read, understood, and agree to these Terms and Conditions.

 

Medical Disclaimer

  • All activities, workshops, ceremonies, and events offered during the retreat are for general wellness, personal growth, and educational purposes only.

  • Retreat facilitators are not medical doctors, psychologists, or licensed healthcare providers, and no part of the retreat should be interpreted as medical, psychological, or therapeutic treatment.

  • Participants are responsible for consulting with a qualified healthcare professional before attending the retreat, especially if they have pre‑existing medical conditions, mental health concerns, or are pregnant.

  • Any physical activity—walking, hiking, movement practices, or ceremonial experiences—is voluntary, and participants assume full responsibility for their own physical and emotional well‑being.

  • Participants must disclose any relevant medical conditions, allergies, or mobility limitations prior to the retreat. This information is kept confidential and used only to support participant safety.

  • The organizer is not liable for any injury, illness, emotional distress, or medical complications that may arise during or after the retreat.

Sobriety & Substance Use Clause

  • To maintain a safe, grounded, and respectful environment, the retreat is a substance‑free experience unless otherwise explicitly stated.

  • Participants agree to abstain from alcohol, recreational drugs, and any mind‑altering substances for the duration of the retreat, including during all ceremonies, workshops, and group activities.

  • Participants must not attend any activity—including ceremonies, movement sessions, or group gatherings—while under the influence of alcohol or drugs.

  • Prescription medications may be taken as directed by a licensed healthcare provider. Participants are responsible for managing their own medication schedules.

  • If a participant’s behavior suggests intoxication, impairment, or poses a safety risk to themselves or others, the organizer reserves the right to remove the participant from the retreat without refund.

Each Participant will sign a waiver upon arrival.
